If your conversations are piling up into an unsearchable mess, it’s time for some serious organization.
Follow this quick cheatsheet to get your AI chats under control and boost your productivity!
Step 1: Use ChatGPT’s ‘Projects’ to organize chats
ChatGPT’s Projects feature lets you group related chats into categories, making it easier to find important conversations later.
How to do it:
> Open ChatGPT
> Click on Projects in the left-hand menu
> Create a new project folder (e.g., “Marketing” or “Business Development”)
> Drag and drop relevant chats into the folder
> Inside each project, create separate threads for specific tasks (e.g., one chat for blogs, another for email writing)
Heads up, if you are using a custom GPT (Link to the other article), you will not be able to add these chats to a project folder.
This will prevent endless scrolling through unrelated chats and helps you stay organized.
Step 2: Rename your chats for quick access
Leaving chats named “default” (which auto-populates from the first line) makes it nearly impossible to find useful conversations later. Renaming ensures you can easily search and locate important chats.
How to do it:
> After starting a new chat, click on the chat title at the top
> Type a clear, searchable name
- ❌ Instead of “Default Chat”
- ✅ Use “Blog Ideas for April” or “Sales Proposal for Client”
Hit Enter to save the new name
If you don’t rename it, you may never find it again!
Step 3: Separate personal & work conversations
Mixing business and personal conversations can make it harder to locate important chats when you need them. Keeping them separate improves efficiency and focus.
How to do it:
In ChatGPT:
> Create a Project for Work
> Create a Project for Personal Use
> Move all work-related chats into the Work folder
> Keep casual brainstorming, learning, or fun chats in Personal
In Claude (if no folder system available):
> Manually rename work-related chats with a [WORK] tag
> Use keywords when renaming, like “Client Proposal – March” or “Vacation Planning”
This will help keep you focused and efficient without distractions from unrelated chats.
Step 4: Archive or Delete Old Conversations
Old, irrelevant chats clutter your workspace and make it harder to find the conversations that actually matter.
How to do it:
In ChatGPT:
> Go to your chat history
> Find old, irrelevant chats
> Click the three dots next to a chat
> Select Archive (or Delete if you no longer need it)
In Claude:
> Scroll through old conversations
> Manually copy important parts to a separate doc
> Delete any chats that no longer serve a purpose
